Annual General Meeting 2017

The Annual General Meeting of Zebon Copse Residents’ Association will be held in Zebon Copse Centre at 8pm on Wednesday 22 February 2017. All residents are cordially invited to attend and make their inputs to the plans for  ZCRA for the coming year and enjoy light refreshments and a glass of wine. The Copse Ranger plus Parish and District Councillors have been invited to give an outline of current issues and to field any questions.

Proposed Changes to the Constitution

The ZCRA constitution was written and adopted in the early 1990s. A number of minor changes are now required to reflect current circumstances.

This copy of the constitution is annotated with changes proposed for adoption at the AGM, Blue indicates text to be removed; red for text to be inserted. The reasons are:

II C: We are no longer surrounded by open country; developments since the 1990s mean that a broader aim is now more appropriate.

IV B: Committee membership has evolved over the years and nowadays committee members respond flexibly to deal with tasks as they arise. Hence the proposal to abolish the formal posts of Vice Chairman and Social Secretary which have not been filled for many years. However, it remains important to safeguard ZCRA funds by requiring two signatures on cheques with sufficient authorised signatories to cover absences.

V D: In line with best practice in most voluntary organisations, a limit on the term of office of the Chairman is good both for the incumbent and the Association.

VI: Given that the AGM has the power to change subscription fees, that meeting needs to precede the start of annual collection of subs. An AGM in April does not give enough time to complete collections before the pre-fete newsletter is published around the end of May. As a result, the AGM has been held in February for many years and this amendment is to formalise that change with sufficient flexibility to cater for changes in the future.
